Privacy Policy
Providential Design Build explains how personal information is collected, used, disclosed, protected and retained when you visit the website, submit an inquiry or request information about a project or financing.
This page is intended to explain the website’s current practices clearly. It should be reviewed whenever forms, tracking technologies, financing partners or business processes change.
1. Scope and Accountability
This Privacy Policy applies to the website operated under the name Providential Design Build and to personal information collected through its online forms, project-estimate requests, financing inquiries, uploaded materials, telephone calls, emails and related communications.
Providential Design Build is responsible for personal information under its control and has designated a privacy contact to receive questions and complaints. This policy does not replace the privacy policies of third-party websites, platforms or financing providers.
2. Information We Collect
Depending on how you use the website, we may collect:
- name, email address, telephone number and preferred contact method;
- property address and general location information;
- project goals, requested services, scope details, timelines and budget range;
- financing-related information supplied through the financing calculator or inquiry process;
- photos, plans, documents and other files you choose to upload;
- messages, notes and other information you choose to provide;
- technical information such as IP address, browser type, device information, referring pages, pages viewed and interaction data; and
- cookie, analytics and advertising identifiers where permitted by your consent choices.
The website does not currently provide user accounts, online payments, online contract execution or online employment applications.
3. How Information Is Collected
Information may be collected directly from you when you complete a form, upload a file, request an estimate, use the financing calculator, contact the company or otherwise communicate with the team.
Technical and usage information may also be collected automatically through cookies, pixels, analytics tags, security technologies and similar tools. Where required, non-essential tracking is controlled through the website cookie-consent banner.
4. Why We Use Personal Information
Personal information may be used to:
- respond to inquiries and provide requested information;
- review property goals, project scope and potential next steps;
- prepare for consultations, preliminary estimates and project discussions;
- coordinate with employees, subcontractors, designers, engineers and permit or municipal consultants where appropriate;
- process a financing inquiry after informing you that information will be shared with a financing partner;
- operate, secure, troubleshoot and improve the website;
- measure website performance, advertising effectiveness and user engagement;
- prevent abuse, fraud and security incidents;
- meet legal, regulatory, insurance and recordkeeping obligations; and
- establish, exercise or defend legal rights.
5. Consent and Communication Preferences
By voluntarily providing personal information, you consent to its collection, use and disclosure for the purposes identified at or before the time of collection, subject to applicable law.
General inquiry consent is used to respond to the request and communicate about the potential project. The company does not currently use inquiry submissions for a recurring newsletter or promotional email, text-message or WhatsApp program.
You may withdraw consent to optional uses, subject to legal or contractual restrictions and reasonable notice. Withdrawal may limit the ability to provide a requested service. Cookie and advertising preferences may be adjusted through the cookie-consent controls where available.
6. Cookies, Analytics and Behavioural Advertising
The website uses cookies and similar technologies for necessary site functions, security, analytics, performance measurement and advertising. Services identified by the business include Google Analytics, Google Site Kit, Google Search Console, Meta advertising technologies, Google advertising technologies, Reddit advertising technologies and Cloudflare Turnstile.
These technologies may collect or receive device, browser, IP-address, referral, page-view, conversion and interaction information. Advertising technologies may use identifiers to measure campaigns and, where consented to, support interest-based or behavioural advertising.
You may use the cookie-consent banner to accept, reject or manage non-essential technologies. Browser controls may also allow you to block or delete cookies, although some website features may not function as intended.
7. Service Providers and Platforms
The website and inquiry process use third-party services to support hosting, email, forms, security, analytics, advertising, customer relationship management, file storage and mapping. Current providers identified by the business include:
- Hostinger for website hosting and email;
- Forminator for website forms;
- Cloudflare for security and Turnstile protection;
- Google services, including Analytics, Site Kit, Search Console, Google Cloud Storage and Google Maps;
- Meta, Google and Reddit advertising technologies;
- GoHighLevel for customer relationship management; and
- Genesis Financial Investment Group Limited for financing inquiries.
These providers process information on behalf of the business or under their own terms and privacy policies. Depending on the provider and configuration, information may be processed or stored outside Ontario or Canada and may therefore be subject to the laws of another jurisdiction.
8. Financing Inquiries
Financing calculator results are illustrative only. When you choose to submit a financing inquiry, the website may collect project, property, contact and financing-related information.
Before information is sent to the identified financing partner, you will be informed that the disclosure is occurring. Financing decisions, rates, terms, eligibility and approvals are determined by the third-party financing partner under its own policies and requirements.
9. When Information May Be Shared
Personal information may be shared only as reasonably required for the identified purpose, including with:
- authorized employees;
- subcontractors involved in evaluating or delivering project work;
- designers, engineers and other professional consultants;
- municipal, zoning or permit consultants;
- the identified financing partner, after notice to you;
- technology and service providers supporting website and business operations; and
- law-enforcement, regulatory, governmental or legal parties where required or permitted by law.
The client intake states that leads are not shared with marketing providers as lead recipients. Advertising and analytics platforms may nevertheless receive technical or conversion information through the tracking technologies described above, subject to consent controls.
10. Retention and Deletion
The business has identified the following general retention periods:
- general inquiries: approximately 3 months;
- project-estimate submissions: approximately 6 months;
- financing inquiries: approximately 6 months; and
- uploaded photos and documents: approximately 1 month.
Unsuccessful inquiries are eventually deleted. Information may be retained for a longer period where reasonably necessary to complete an active request, comply with law, resolve a dispute, enforce an agreement, maintain security or preserve required business records. When information is no longer required, it may be deleted, anonymized or securely destroyed.
11. Safeguards and Security
Administrative, technical and organizational safeguards are used to protect personal information against unauthorized access, use, disclosure, alteration, loss or destruction. Safeguards may include access controls, account security, encrypted connections, security services, spam protection, restricted internal access and service-provider controls.
No website, storage system or transmission method can be guaranteed to be completely secure. Please avoid submitting unnecessary sensitive information through general inquiry forms.
12. Access, Correction and Privacy Requests
You may request access to personal information held about you, ask how it has been used or disclosed, request correction of inaccurate information, or withdraw consent to optional processing.
Requests should be sent to privacy@providentialdesignbuild.ca. Reasonable identity verification may be required before a request is completed. Access may be limited where permitted or required by law.
13. Information Submitted by Minors
The website is designed for people seeking construction, renovation, property-consulting or financing information. If you are a parent or guardian and believe a minor has submitted personal information without appropriate authorization, contact privacy@providentialdesignbuild.ca so the information can be reviewed and, where appropriate, deleted.
14. Changes to This Policy
This Privacy Policy may be updated to reflect changes to legal requirements, business practices, forms, service providers or website technologies. The revised version will be posted on this page with an updated effective date. Material changes may also be communicated through the website or another appropriate channel.
